Turning Five Years of Inbox Enquiries into More Than 7,000 Usable Leads

We recently completed a project for a client who came to us wanting to set up a proper email marketing system, complete with website automations and the ability to send strategic campaigns to their audience. During the process, he mentioned something that immediately stood out: he wished he had kept a record of every person who had enquired with his business over the last five years. Sitting in his inbox were years of valuable conversations, quotes, enquiries, and past client interactions, likely around 1,000 leads or more, but none of it had been structured in a way that could actually be used for marketing.
We spoke to Anthony, our Developer, and asked whether it would be possible to build an automation that could crawl through the client’s inbox, identify relevant contacts, and organise that information into a usable database. The solution Anthony built went far beyond a manual clean-up job. The machine processed more than 200,000 emails, filtered them down to 77,000 relevant messages, and from that created a spreadsheet containing more than 7,000 past clients and enquiries.
The system also helped uncover useful context around each contact, including their name, location, how many emails had been exchanged, and whether they had become a contract, remained at quote stage, or were simply an enquiry. That meant we were not just handing the client a list of contacts. We were helping build a far more strategic foundation for email marketing, with a much clearer understanding of where each person sat in the funnel.
For many businesses, years of leads, enquiries, and customer conversations sit buried in email folders, never properly captured and never used to support future growth. Yet this is often some of the warmest, most commercially valuable data a business has. These are people who already know the brand, have already shown interest, and in many cases were already partway through the buying journey.
